Event Coordinator

Overview: As an Event Coordinator at Celebrations Ballroom, you will play a pivotal role in orchestrating memorable events and creating enchanting experiences for our clients. You'll be responsible for overseeing every aspect of event planning post contract signing to flawless execution on the big day. Your creativity, organizational skills, and attention to detail will ensure that each event exceeds expectations and leaves a lasting impression.
Key Responsibilities: Client Consultations:Conduct in-depth meetings with clients to understand their vision, preferences, and expectations for the event.Offer expert guidance and creative ideas to bring their vision to life within the parameters of the venue packages and budget.
Vendor Communication: Collaborate with a network of vendors including florists, caterers, decorators, and entertainment providers to coordinate all aspects of the event.Negotiate contracts, review proposals, and ensure all vendors deliver according to the agreed-upon terms.
Design and Décor:Develop event themes and design concepts tailored to each client's preferences and event type.Create detailed floor plans, seating arrangements, and timelines to optimize space utilization and flow of the event. Oversee the selection and arrangement of décor elements, including centerpieces, lighting, linens, and furniture, to create a cohesive and visually stunning atmosphere.
Logistics and Set-Up: Coordinate with venue staff and vendors to ensure timely set-up and breakdown of event spaces. Supervise on-site staff and volunteers to execute set-up and ensure all elements are in place according to the design plan.
Client Communication and Support: Maintain regular communication with clients throughout the planning process to provide updates, address concerns, and solicit feedback.Offer exceptional customer service and support to ensure a smooth and stress-free experience for clients from start to finish.
Requirements:Proven experience in event planning and coordination, preferably in the hospitality or events industry.Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.Excellent communication and interpersonal skills, with the ability to build rapport with clients, vendors, and team members.Creative flair and a keen eye for design, with the ability to translate clients' visions into stunning event concepts.Proficiency in event planning software and tools, including floor planning software, project management platforms, and Microsoft Office suite.Bachelor's degree in Hospitality Management, Event Planning, or a related field preferred.Bilingual speakers (Spanish) preferred
